SPA POLICIES & CLIENT INFO

Spa Policies & Client Info

Appointments

All spa consultations, services and treatments are by appointment; a credit card number must be provided to reserve your appointment. After making an appointment you will be emailed a link to a confidential, HIPAA compliant questionnaire so you may make your provider aware of any relevant medical conditions/concerns, ensuring that we provide the safest, most appropriate treatments and products to you and to prevent contraindications to products and treatments. Because we are a medical spa, any information you provide to us will remain confidential and is protected under HIPAA guidelines. We send appointment reminders via text or phone call.

Cancellations

Out of courtesy to your provider, please provide a minimum of 24 hours notice for cancellations to avoid being charged in full for your treatment. If you fail to provide less than 24 hours notice for a cancellation, you will be charged for half the amount of the booked service price, PLUS 18% gratuity for your aesthetician. If you do not cancel an appointment and are a "no show," you will be charged in FULL for your scheduled service, plus 18% gratuity for your aesthetician.

Late Arrivals:  Many times, our aestheticians are fully booked, and we make every effort to stay on schedule. In fairness to all of our clients, if you arrive more than 10 minutes late for your appointment, your treatment time may need to be reduced or you may choose a shorter service.

Spa Arrival

We ask that you check in at the spa reception desk up to ten minutes prior to your scheduled appointment. You are then welcome to unwind in our Relaxation Lounge or browse in our retail shop until your aesthetician is ready for you. Please understand that late arrivals may have a shortened service, to allow our providers to stay on schedule for our other clients.

Spa Etiquette

As a courtesy to all of our guests, we ask that you help us maintain an atmosphere of quiet and serenity in our spa. Please turn your cell phone off or set it to ‘silent mode’ during your visit. If you need to talk on the phone, we ask that you do so in the reception/retail area and not in treatment rooms or the Relaxation Lounge. Please do not bring food or beverages to the spa; refreshments are available in the Relaxation Lounge. Please do not bring children to your appointment.

Age Policy

There are limited treatment options for children. For safety reasons, no one under the age of 12 may be treated in our spa; exceptions may be made at Dr. Asfa’s discretion for children with certain skin conditions, such as acute acne. Children under the age of 16 must be accompanied by an adult during treatment. For all guests under the age of 18, an informed consent form must be signed by a parent or legal guardian before services are rendered.

Insurance

We are often asked if we accept insurance for spa treatments. Because the majority of the treatments and services are almost exclusively elective procedures to improve one’s appearance, we do not accept medical insurance to cover these costs. However, some of the treatments Dr. Asfa provides in the spa are medical in nature, and in some cases, medical insurance may be accepted, depending on the insurance carrier.

Financing

Get the look you want now and pay later! We work with several lending companies that allow our spa clients and patients to pay in installments for health, wellness and beauty treatments, including surgical and non-surgical cosmetic procedures and injectables. The companies we work with are CareCredit, and PatientFi, and you may apply via their websites.

Social Media

We truly appreciate when clients share their positive experiences and photos of their treatment results on their social media pages. Please rest assured that we will never post photos or information about any of our spa clients or patients without their express permission. Please like and follow us on Facebook and Instagram!

Gratuities for exceptional service you have received from your aesthetician are optional and can be given at your discretion.

Physicians and nurses may not accept gratuities.
